Webmail is fine for checking mail now and then, but most people want their business email on their phone and in a proper email app. The good news is that any cPanel mailbox works with Gmail, Outlook, the iPhone Mail app and Android, as long as you enter the right server settings.
This guide gives you those settings, explains IMAP versus POP3, and walks you through setup in each popular app, followed by fixes for the errors people see most often.
Step 1: Find your exact settings in cPanel
cPanel shows the correct settings for every mailbox, so start there rather than guessing.
- Log in to cPanel and open Email Accounts in the Email section.
- Find your address and click Connect Devices.
- Look at the Mail Client Manual Settings box. Use the column labelled Secure SSL/TLS Settings (Recommended).
- Note the username, incoming server, outgoing server and ports.
On the same page, cPanel also offers automatic configuration scripts for some apps, such as a profile for iPhone and Mac Mail. These can save typing, but the manual settings below work everywhere.
Standard cPanel email settings
| Setting | Value |
|---|---|
| Username | Your full email address, e.g. user@example.com |
| Password | The password for that email account (not your cPanel password) |
| Incoming server | mail.example.com or the server hostname shown in Connect Devices |
| IMAP port | 993 with SSL/TLS |
| POP3 port | 995 with SSL/TLS |
| Outgoing (SMTP) server | Same as the incoming server |
| SMTP port | 465 with SSL/TLS, or 587 with STARTTLS |
| SMTP authentication | Required, using the same username and password |
Tip: If Connect Devices shows a server hostname (something like
server123.hostingcompany.tld) instead ofmail.yourdomain.com, use exactly what it shows. That name has a valid SSL certificate, so you will not get security warnings.
IMAP or POP3: which should you choose?
Choose IMAP in almost every case. IMAP keeps your mail on the server and syncs it across all your devices, so a message you read on your phone also shows as read on your laptop, and sent mail appears everywhere.
POP3 downloads mail to a single device and, by default, may remove it from the server. It only makes sense if you deliberately want to keep mail on one computer and save server space. If you use POP3 on more than one device, your mail quickly gets out of sync.
Set up cPanel email in Outlook
The steps differ slightly between versions, but the idea is the same.
Outlook for Windows (classic)
- Open Outlook and go to File > Add Account.
- Enter your full email address, then click Advanced options and tick Let me set up my account manually.
- Click Connect and choose IMAP.
- Incoming mail: server
mail.example.com, port993, encryption SSL/TLS. - Outgoing mail: server
mail.example.com, port465, encryption SSL/TLS. - Click Next, enter the email password, and click Connect.
New Outlook and Outlook on Mac
Go to Settings > Accounts > Add account (or Add Account from the Outlook menu on Mac), enter your email address, and when asked for the provider choose IMAP. Expand the advanced settings and enter the same servers and ports from the table above. If Outlook tries to detect settings automatically and fails, choosing IMAP manually usually fixes it.
Set up cPanel email in Gmail
Gmail app on Android or iPhone
- Open the Gmail app, tap your profile picture and choose Add another account.
- Select Other, enter your full email address and tap Next.
- Choose Personal (IMAP) and enter your email password.
- For incoming settings, enter server
mail.example.com, port993, security SSL/TLS. - For outgoing settings, keep Require sign-in on, and enter server
mail.example.com, port465, security SSL/TLS. - Choose how often to sync and give the account a name.
Gmail on the web
Google has been phasing out the old “Check mail from other accounts” (POP3) option in Gmail on the web, so it may not be available to you. If you want your cPanel mail inside a Gmail inbox on a computer, a simple option is to create a Forwarder in cPanel that sends a copy to your Gmail address. To reply from your business address, add it in Gmail under Settings > See all settings > Accounts and Import > Send mail as, using SMTP server mail.example.com, port 465, SSL, and your full email address as the username.
Set up cPanel email on iPhone and iPad
- Open Settings, go to Mail (on recent iOS versions: Apps > Mail) and tap Mail Accounts > Add Account.
- Tap Other > Add Mail Account.
- Enter your name, full email address, password and a description, then tap Next.
- Make sure IMAP is selected at the top.
- Under Incoming Mail Server and Outgoing Mail Server, enter
mail.example.comas the host name and your full email address and password as the username and password. - Tap Next. iOS normally detects SSL and the right ports automatically. Tap Save.
If sending fails, go back to the account, tap SMTP under Outgoing Mail Server, open the primary server and check that Use SSL is on, authentication is Password, and the port is 465.
Set up cPanel email on other Android mail apps
Samsung Email and most other Android apps follow the same pattern: choose Other or Manual setup, pick IMAP, then enter the full email address as the username, 993 SSL/TLS for incoming and 465 SSL/TLS for outgoing.
Common problems and fixes
“Username or password incorrect”
Use the full email address as the username, not just the part before the @ sign, and not your cPanel username. If you are unsure of the password, reset it in cPanel under Email Accounts > Manage.
Certificate or “cannot verify server identity” warning
The server name you entered does not match an SSL certificate. Use the exact server shown in Connect Devices, or check SSL/TLS Status in cPanel to make sure mail.yourdomain.com is covered by AutoSSL.
Can receive but cannot send
Turn on SMTP authentication (“My outgoing server requires authentication”). If port 465 does not work on your network, try 587 with STARTTLS. Some internet providers block outgoing port 25, so never use it for your mail app.
Account locked after many attempts
An app with an old password keeps retrying and can trigger the server’s brute-force protection, blocking your IP address. Update the password on every device, then ask your host to unblock your IP if needed.
Mailbox full errors
Check the account’s storage under Email Accounts and remove old mail using Email Disk Usage, or increase the quota.
Frequently asked questions
Should I use port 465 or 587 for SMTP?
Both are secure. Port 465 uses SSL/TLS from the start, and 587 upgrades to encryption with STARTTLS. Use 465 first; switch to 587 if your network blocks it.
Can I use the same email on my phone and laptop?
Yes, with IMAP. Every device stays in sync because the mail is stored on the server.
Why is my sent mail not showing on other devices?
Your app may be saving sent mail locally. In the app’s account settings, set the sent folder to the server’s Sent folder.
Do these settings change if I move to another host?
Usually the server name changes. Check Connect Devices on the new host’s cPanel and update each app.
Conclusion
To connect cPanel email to any app, use IMAP on port 993, SMTP on port 465 (or 587), your full email address as the username, and the server name shown in Connect Devices. Set it up once on each device, keep passwords updated everywhere, and your business mail will stay in sync wherever you work.
